Actions are how you record your team's engagement work, such as meetings, calls, emails, fly-ins, testimony, and more. Logging actions consistently gives you and your colleagues a complete picture of every touchpoint across your policy priorities, and makes it easy to report on your team's activity when it matters.
Action Types
PolicyNote includes eight default action types:
- Meeting
- Committee Hearing
- Phone Call
- Fly In
- Conference
- Testimony
- Other
Admins can also create custom action types to capture activities that don't fit the defaults: PAC donations, events, coalition meetings, or whatever your organization needs to track. Go to Account > Settings > Action Types to manage these. Custom types appear alongside the defaults everywhere actions are created or filtered.
Creating an Action
You can create an action from several places depending on where you are when you need to log it.
From the Actions tab
The standard starting point when you're logging an interaction directly.
- Go to the Actions tab and click Create Action.
- Fill in the required fields (marked with *) — at minimum, action type, title, and date.
- Add attendees, linked bills or stakeholders, tags, and any notes.
- Click Submit.
From a bill card in Discover
When you're researching a bill and need to log an interaction tied to it, you can create an action directly from the bill's card or flyout. The bill is automatically linked to the action.
From a stakeholder's card or profile
When you're looking up a contact and want to log a touchpoint, create the action from their card in search results or from within their profile. The stakeholder is automatically linked.
From a committee hearing or event
When creating an action based on a scheduled hearing or event, the date and time are pre-filled automatically from the event details.
Finding and Filtering Actions
From the Actions tab, use the search bar to find actions by keyword. Filter by:
- Date range
- Tags
- Projects
- Action Types
- Attendees
- Creators
- Linked Entities
You can also choose whether to display tags and projects on action cards, or toggle them off for a cleaner view.
Exporting and Reporting on Actions
From the Actions tab you can:
- Export your actions to CSV or XLSX for offline use or reporting
- Create an Actions Report: A formatted summary of your team's activity that can be downloaded, shared, or scheduled for automatic delivery
Managing Action Types (Admins)
Organization admins can create, rename, and delete custom action types from Account > Settings > Action Types.
Before deleting an action type, be aware:
- Deleting removes it from all existing actions, filters, reports, and exports
- Deletion is permanent — the type must be recreated manually if needed again
- If an action type is still actively used, consider renaming it instead
