Email-to-Actions

Sometimes the most important interactions happen away from your desk: a quick call with a staffer between meetings, an exchange with a lobbyist that needs to be on record. Email-to-Actions lets you log those interactions as PolicyNote actions without opening the platform at all. Send an email the way you normally would, BCC a special address, and PolicyNote creates the action automatically.


How it works

When you BCC actions@ai.policynote.com on any email, PolicyNote:

  • Creates a new Action in your organization's account
  • Uses the email subject as the action title
  • Uses the email body as the action notes
  • Automatically tags recipients as Attendees if they exist in your PolicyNote directory

You can always open the action afterward to add more detail (linked bills, tags, projects, or additional context), but the core record is captured the moment you send.


Sending an Email-to-Action

  1. Compose your email as normal.
  2. Add actions@ai.policynote.com to the BCC field only — not To or CC.
  3. Include at least a subject line.
  4. Send.

Requirements

Before using Email-to-Actions, confirm:

  • You're sending from the same email address linked to your PolicyNote account
  • Your PolicyNote account is active and belongs to an active organization
  • You have Create Actions permission in PolicyNote

Troubleshooting

Action isn't being created? Work through these checks in order:

1. Confirm BCC placement The address must be in BCC, not To or CC. This is the most common cause of failed actions.

2. Confirm your sending address matches your PolicyNote account If you're sending from a different address than the one on your account, PolicyNote won't be able to match the email to your user.

3. Check your domain's DMARC status DMARC is an email authentication standard. If your organization's domain has DMARC issues, emails may be rejected before PolicyNote receives them.

To check: go to MXToolbox DMARC Check and replace yourdomain.com with your actual sending domain. If you see red X's in the results, your domain has authentication issues — contact your IT team to resolve them.
