A Project is your workspace for a specific issue, client, or area of focus. Everything related to that work lives in one place: the policies you're tracking, the stakeholders you're engaging, the actions your team has taken, and the alerts firing on new legislation. Before you can save alerts or track policies, you need a project to put them in.
Creating a Project
- From the main navigation, click Projects.
- Click Create Project in the upper right corner.
- Fill in the project name and any optional details (description, impact, priority).
- Click Submit.
Once created, your project appears in your Projects list and is ready to receive alerts, policies, and stakeholders.
What's Inside a Project
Each project has its own dashboard and a set of tabs. Here's what each one contains.
Dashboard
The project dashboard gives you a snapshot of everything happening in that project at a glance:
- New Alerts: Unread matches from your saved alerts
- Recent Updates: Recent activity on the policies you're tracking (status changes, hearings, sponsor updates)
- Actions: A chart of the actions your team has logged
- Policy Map: Your tracked policies visualized by state
- Bills by Status: Policies grouped by where they are in the legislative process
- Bills by Priority: Policies grouped by the priority level you've assigned
Click into any of the map or status widgets to jump directly to the filtered list of policies behind them in Discover.
Policies
All the legislation and regulations you're tracking in this project. Policies get added here from Alerts or directly from Discover. Use the search bar and filters, including content type, location, priority, position, tags, and last updated date, to find what you need.
Stakeholders
Every contact linked to this project
Workflows
A Kanban-style board for tracking where each policy stands in your internal process. You define the lanes, and they can represent stages, actions needed, owners, or whatever structure your team actually uses. See the [Workflows article] for more detail on setting these up.
Actions
Every interaction your team has logged against this project. Search by keyword or filter by date, tags, action type, attendees, creator, or linked entity. You can export actions or generate an Actions report directly from this tab.
Activity Log
A running record of everything that's happened in the project: who added a policy, who removed a stakeholder, who created or deleted an alert. Note: Activity tracking started February 9, 2026, so history before that date isn't available.
Updating a Project
You can edit a project's name, description, priority, or other details two ways:
From the Projects list: Find the project, click the three vertical dots menu, select Update, make your changes, and click Submit.
From inside the project: Click the Update Project button in the upper right corner of the project page.
Managing Collaborators
Projects can be shared with your whole organization or limited to specific people. When you add collaborators, they can view and work within the project by adding policies, logging actions, managing alerts.
To adjust who has access, open the project settings via Update Project and modify the collaborators list.
You can also add collaborators while creating a new project during the alert creation flow. When the alert creation pop-up appears, select + Create New Project, name it, and choose your collaborators in the same window.
A few things worth knowing:
- If you're the sole collaborator on a project and choose to leave it, the project reverts to organization-wide access automatically.
- If you remove yourself as a collaborator, you'll be prompted to confirm and you won't be able to see the project again until someone adds you back.
- Admins have automatic access to all projects in the organization, so they don't need to be added as collaborators manually.
- Deleting a project removes it for everyone. Because deletion applies at the organization level, all collaborators immediately lose access to the project's alerts, bills, workflows, and stakeholder information. Delete only when a project is no longer needed by anyone on your team.
Notification Settings
PolicyNote sends two types of email notifications related to projects:
Project Update emails notify you when policies you're tracking have new activity (status changes, new hearings, sponsor updates, markup events).
Alert emails notify you when new policies match your saved alert criteria within the project.
You can set the frequency for each independently. Options are: Hourly, 4-Hourly, Daily, Weekly, or Never.
To adjust your notification frequency:
- Open the project and click Update Project.
- Find the notification frequency settings for Project Updates and Alerts.
- Set your preferred cadence for each and save.
A few things worth knowing:
- Your notification preferences apply only to your account. Changing them won't affect what your teammates receive.
- If you're on a project set to "everyone" as collaborators, you can still set your own custom frequency.
- Alert emails are sent in the early morning hours (ET) to ensure they're in your inbox at the start of your day.
Not receiving emails you expect? Check that your frequency isn't set to Never, confirm your email address is correct in your account settings, and check your spam folder as automated emails from PolicyNote occasionally get filtered.
Receiving too many emails? Reduce frequency on lower-priority projects, or set them to Weekly or Never if you prefer to check in manually.
